Case Study: Lisbon Incentive

Brief

Our financial services client tasked us with finding a warm location within a short flight from the UK for their annual incentive trip.

Previously the team have enjoyed their 3 day trips to Lisbon, Madrid and Seville.

The client required a meeting room for a half day session to enable sponsor presentations and briefings, all accommodation under one roof and a swimming pool.

The overriding goal was to network, socialise, share best practice and ideas with their peers.

Our client hadn’t used an event management support team for this trip previously and were interested in understanding what Autograph Events could offer to enhance and manage their experience. They were looking for expertise to make the logistics seamless and ensure the “fringe events” for the group were well thought out and coordinated.

With a 4 week turnaround to coordinate a group flight, hotel accommodation and offsite dinners, time was tight.

Solution

Lux Lisboa was chosen to provide good quality accommodation with all guests under one roof. It gave the space for the meeting components and easy access to activities and informal, relaxed social spaces with a great city centre location and rooftop pool and bar.

There was plenty of time given in the agenda for socialising as an opportunity for networking – it was important the trip was a good mix for formal and informal.

Guests had a half day enjoying  Tuk tuk iPod challenge where they got to choose their destination  with multiple stops for food and drink tastings on the way!

Evenings were more formal. Dinners were off site with one being held in a traditional riverside warehouse, and another in a trendy local restaurant. Both served a fusion of traditional and modern Portuguese dishes, and excellent wines!

Autograph provided an online registration portal where we collected delegates passport details, dietaries and access requirements. Flights were booked and logistics taken care of for guests’ arrivals and departures. Autograph managed the smooth running onsite for the length of the event. This provided comfort to the guests with a main port of call should they need extra support, someone to manage the timings and ensure everything ran to schedule.
